The PrismHR Q3 2021 Release is scheduled to be deployed on the following Saturdays: 9/11, 9/18, 9/25.

Payroll & HR

 

Third Party Check Processing (formerly Cutback Check Processing) has been migrated to PrismHR and significantly enhanced. You can now create, post, print checks and process voids from a single screen, along with improved filtering and an improved “real-time mode” so consolidated garnishment checks can print with payroll. The ability to regenerate PEO client accounting is now available on the Regenerate Client Accounting form. You can regenerate accounting for up to 10 payrolls/invoices at a time and can regenerate, repost, and create client download processes with a single click of a button. On demand check processing has been redesigned for self-service clients with onsite printing capabilities to allow the immediate processing of a final check for terminated employees. 

Several PTO enhancements including the ability to mass delete PTO registers, the ability to enroll and adjust employees in the PTO Register Adjustment Import, a setting for users to choose to auto-accept leave requests into the timesheet, the ability to stop/start PTO accruals during leave of absence and reactivation processing, and new shortcut links to add employee absence or make adjustments have been added to the Employee PTO Registers form.

Employee Portal

New manager functionality in Employee Portal allows worksite managers to create and manage alerts (and segments to target those alerts). Managers can also now change an employee’s position in their Employee Details. The aforementioned functionality was previously available only to service provider users. Contextual help has also been added to Employee Portal to help worksite managers take advantage of new functionality. 

This release also features increased Spanish language support, including the ability to store an employee’s preferred language. The preferred language will also carry over to Onboarding and Benefits Enrollment. Other enhancements include the ability to add a Benefits Enrollment widget, and we are now hiding inactive employees on the dashboard.

Onboarding & Benefits Enrollment

 

Spanish language support has been added in this release with all default forms being translated. An employee can select their preferred language as English or Spanish and can update their preference at any time. Service providers and worksite managers can also specify the preferred language for a New Hire. New event-based conditional notifications triggered by content in a form is also now available.

Another feature added this quarter is the Benefits Enrollment bulk creation tool that can create multiple enrollment records simultaneously, so records no longer need to be created one at a time. Custom themes configured within the Employee Experience Configuration now carry over into the Onboarding and Benefits Enrollment workflows.

Benefits Administration

This quarter’s release includes a number of items that originated from customer requests through PrismHR Ideas—thank you! 

We’ve added several menus to Onboarding & Benefits Work Centers, including new links for FSA & HSA Plans in Benefit Plan Maintenance and much more. You’ll also see Group Benefit Plans have been split to more easily identify global and client-level setup menus. In this release we’ve introduced a new Work Center called Workflow Setup, offering links to menus to set up Onboarding and Benefits—all in one place. Many customers have requested the ability to select multiple or all states at one time in Group Benefit Plans, so we’ve made enhancements to the selector list, allowing you to more easily verify and manage (e.g., Add or Remove All) your selected items. The new selector has also been added to Benefit Rules, within the Eligible Benefits table in Benefit Groups, and Employee Benefit Enrollment.

Report Center

 

Parameter-driven reports are now available in Report Center, which can be run using parameters (e.g., as of date) selected on the report screen. Based on customer feedback, these reports have been designed to show information for a specific point in time. 

This release also features new reports which were selected based on some of the most frequently used reports in HRPyramid. The addition of four ACH reports give you access to history and reconciliation information. You’ll also find reports for Accounting GL Setup, Employee Census By Date, State Unemployment Rates, and more. Based on your feedback, we’ve also added new fields to existing reports, including Employee Resident City to retirement and voucher-related reports, Client Benefits Rep to employee general information and census reports, and MasterTax “F” Code to voucher and tax-related reports.

API

API version 1.26 includes the addition of Initialized Payroll Vouchers option allowing you to review vouchers before posting a payroll. This also allows you to customize payroll information for your client’s review and approval.

Additionally, we’ve created an asynchronous API method to allow you to pull onboarding dashboard data for a list of clients or across all clients for a specific task type or date. You will also be able to perform onboarding actions, for example, the ability to send a reminder email to a user whose task has not yet been completed. Symmetry support has been added in addition to Vertex for creating or updating a worksite location. We have also added the ability to register a worksite manager or trusted advisor with their relevant data security information to support integrations that use our SSO capabilities.

As of API version 1.26 the session ID must be included in the header of each API request and no longer allowed to be passed as a query string parameter. This will not affect current integrations but will need to be a consideration when updating to a supported version of the APIs. We support the last 5 versions of the APIs and end of life for unsupported versions will be in February 2022.

HRPyramid to PrismHR Feature Migration

 

Many Compliance, Tax, Benefits, Payroll, HR, and system-related forms have been migrated from HRP to Prism this quarter. ACA operational efficiencies and enhanced user experience items have been added such as all ACA related menus are now in the ACA Work Center and field level help explaining each field and their impact to downstream calculations.

As a reminder, forms that are migrated from HRPyramid to PrismHR display ‘(Now in PrismHR)’ in HRPyramid menus. After a form has been available in PrismHR for a full quarter, it is disabled in HRPyramid menus with an annotation of ‘(Only in PrismHR)’. Please be on the lookout for a survey that will be emailed the first week of September to gain your feedback on the sunset of HRPyramid and OnHRP. Talent Management

Based on feedback from our customers, we’ve focused on making appraisal finalization simpler. First, we’ve removed a step, combining the compile and finalization process into one screen. The new finalization window will now include an embedded final appraisal preview, giving supervisors a view into scores, comments, and feedback with fewer clicks. We’re also introducing three new Automate Status settings (replacing the single Automated Status Flow setting), giving you more control over stopping the appraisal process at a particular spot in the appraisal lifecycle (e.g., after routing, after electronic signature, step before completion).

Additions to sponsored job boards include Monster, PrismHR Sourcing, Poached, and CareerBliss. Also in this release, you can now collect a social security number from a new hire on the offer letter and transfer it to PrismHR via API.

ClientSpace

 

The ClientSpace integration with SIDES has been completed and select customers will pilot the solution in Q3. The integration allows you to manage the data collection for unemployment claims in ClientSpace and exchange information electronically with state agencies. It’s a more efficient, seamless experience that reduces the administrative burdens and delays of a paper-based process.

Other ClientSpace enhancements include UI upgrades to how you can manage modules in your profile and new field styling options. You also can now share case discussions with anyone (i.e., ad-hoc recipients) by entering their email address. Previously, discussions could be accessed only by employees, service provider users, and contacts. Also related to case discussions, you can now reactivate a case after a case has been closed to continue a discussion.

Compliance

Updates to EEO-1 to accommodate new reporting requirements and PEO guidance. Additional flexibility has been added to allow client-specific downloads with client level options and client-specific details.

Other focus areas continue to be 941 and MasterTax RTS and updates have been made based on the latest guidance and requirements.
