Q1 2021 PrismHR Quarterly Release

The PrismHR Q1 2021 Release is scheduled to be deployed on the following Saturdays: 3/27, 4/3, and 4/10.

Multistep payroll approvals allow you to set up a multi-tiered approval structure. Today, those with payroll approver on their user role will receive the payroll to approve simultaneously. Now with multistep approvals, you can select one individual to receive the payroll first, then someone else next (even someone with another role), and so on. It gives you increased flexibility to configure a process that works best for you and your clients’ needs.

New functionality to the existing employee payroll vouchers form enables you to reprint multiple vouchers in one step. You can select all or any number of vouchers to reprint. This new process bypasses payroll history which previously required you to scroll back to the payroll date to find your vouchers. Now accessing your reprinted vouchers is easier than ever—each reprinted voucher is generated as a PDF in a new window to print, save, or download.

Current functionality allowing you to push out documents via alerts to employees to be signed has been expanded. When an employee signs a document it is automatically stored in the new “Signed Employee Documents” category (you may also customize this destination to another category of your choosing).

Now you can use one Employee Portal template for all clients (yes, really just one!) and dynamically show—or not show—menus and widgets based on business rules and segments. This dramatically reduces the number of templates you need to maintain and helps personalize the experience for your clients.

Where employees are unable to register themselves (and complete onboarding) due to cross-hire issues, Proxy Registration allows you to create a new user account for these employees.

Prehire Audit now provides service providers with the ability to view an audit trail that captures information such as who entered new hire and when were they entered into the system. To make searching for specific employees easier, the Workflow Maintenance filter has been updated to find employees across all clients (without providing a clientID).

In Benefits Enrollment you now have the option to require a dependent’s complete address in the workflow.

A new field for Retirement Benefit Group Setup in Employee Details and New HIre Entry allows a single entry upon hire rather than reentering each time you create or change a retirement enrollment record. This also simplifies the Slavic API integration for customers using it.

When clients do not have Section 125/HSA plans populated in Client Details, the corresponding flex forms in the workflow will now be dynamically suppressed.

New benefit plan wash rules for mid-month coverage allow premium, deduction, and full-month adjustments to be charged according to the wash rule day set at the client level. This new feature eliminates the need to make manual adjustments to meet carrier requirements.

Report Views now allow you to save report options (like sorts and filters) and return to that exact formatting at any time.

We’ve also added a “Favorites” filter, allowing you to quickly navigate to the reports and views you use most often.

HRPyramid reports continue to be converted into new reports in the Report Center. You’ll see these reports tagged in HRPyramid menus with “Now in Report Center”. To date, nearly 600 HRPyramid reports are available in Report Center (via 45 reports). We’ve created an index that maps HRPyramid reports to Report Center reports to point you in the right direction.

In API 1.24, we have added new services including Human Resource services and General Ledger service. New features and functionality included in these services and our existing services include PrismHR manager and trusted advisor user maintenance, client GL accounting, benefit adjustments, reassign pending approvals, and future dated work assignments.

As a reminder, PrismHR supports the 5 latest versions of the API (currently 1.20–1.24). Clients can now restrict calls to supported versions of the API via the ‘Minimum API Version’ selector in the Web Service User.

The New Employee Import process has been added and streamlined to make this critical part of the client take-on process significantly easier.

The Employee Fields Import process has been upgraded to allow for .csv importing, as well as providing an export report that can be used during the importing process. We’ve also created the Client Allocation Report format with a new easy to utilize user experience.

We’ve added 15 new job board integrations (both free and paid) to PrismHR ATS, providing a broader set of candidate search options for you and your clients.

We also completed an integration with CrimCheck, enabling the ordering and receiving of candidate background screenings directly from the candidate details screen.

When you or your clients want to collect any type of custom data that’s not part of the core ATS, check out the Form Builder. Custom fields related to positions, requisitions, employees or candidates can be created, filled out by the appropriate people, and tracked.

Gradient AI customers will be able to use this seamlessly in ClientSpace through a new integration. Using AI and sophisticated data models, Gradient AI can take in your new client information and generate a risk assessment to support decision making during the pricing process.

The new Visualize tool allows you to preview how fields display when adding, editing, or deleting fields on a dataform. Other UX/UI enhancements include drag and drop functionality for Workcenter items, and responsive design for case discussion.

ClientSpace enhancements are released monthly. Read the release notes for Release 100.

Support for California Pay Data Reporting requirements will help you and your clients meet their March 31 reporting deadline. This output is designed at the client level and builds off of EEO-1 functionality.

California has also mandated that employers with self-funded plans report on any California-based employee covered by those plans. The Q1 release will feature the necessary reporting capabilities in the required file type.
