The October 2025 Release is scheduled to be deployed on the following days: 10/23, 10/24. Each month we release new features and enhancements across the platform to help you compete, operate efficiently, and expand opportunities to deliver value to your clients.

Payroll Approval Reports: The following reports are now available for review during payroll approval: Client Allocation, Gross to Net, Payroll Allocation, Payroll Check Journal, Payroll Register, Deduction Register, and Deduction Code Summary. Previously only accessible in Payroll History after processing, these reports now provide managers with the necessary context to confidently approve payroll.
PrismONE ID Integration (no QR Code scan needed): This update eliminates the need for employees to log into the Employee Portal to scan a QR code during mobile setup. Instead, users with an existing PrismONE ID can seamlessly activate PrismONE Mobile. This enhancement supports the strategic initiative to transition all employees to PrismONE IDs, streamlining access and improving the overall onboarding experience.
Position Code Enhancement – OBBBA Tipped Employee TTO Code: This update introduces a field in the Position record for identifying qualified tipped positions under the OBBBA federal income tax deduction. Applying the TTO Code ensures accurate classification and prepares the system for future reporting requirements, including W-2 documentation.
ClientSpace – PowerPoint Merge Support: Users can now auto-generate presentations using merge fields like <<EmployeeName>>, leveraging existing stored procedures. For advanced media such as charts, audio, or video, additional stored procedure setup is available. This feature streamlines presentation creation, saves time, and ensures data accuracy—ideal for sales decks and client-facing materials.

Common Law Employer on the Multi-Entity Groups: This enhancement allows for clearer definition of how multi-entity groups are structured by introducing Common Law Employer Group settings. It supports future compliance-related improvements and enables better visibility into employees working across multiple clients within a group, laying the foundation for more accurate reporting and workforce insights.
Standard Gender Codes and Pronouns: These updates support the transition to modern onboarding workflows and ensure consistency and compliance across systems. By aligning with current standards, the platform enables more inclusive and accurate data collection while preparing for future enhancements in employee record management.
Payroll Variance Analysis – Enhanced Pay Group Details: This update provides users with more detailed insights about the pay group, helping them more easily identify and select the correct payroll. The added context improves accuracy and streamlines payroll review and reconciliation.

Employee Portal
Manager Self-Service – Payroll Approval Reports: The following reports are now available for review during payroll approval: Client Allocation, Gross to Net, Payroll Allocation, Payroll Check Journal, Payroll Register, Deduction Register, and Deduction Code Summary. Manager Self-Service – New Hire: Managers can multi-select and delete new hire candidates with a “Not Started” status, helping streamline the dashboard and remove clutter. A new Benefit Plan Retirement option has been added to better align Portal functionality with PrismHR New Hire. Once an employee begins onboarding, their prehire record becomes locked to preserve data integrity and prevent further edits.
PrismONE Mobile

Push Notifications: A new configuration option allows employees to choose whether they want to receive push notifications. Currently, push notifications are sent exclusively through the Communication Hub, which is now in beta. Group Benefit Plans Form Redesign with New Sections: This refreshed layout with three new sections—Billing, Plan Provisions and Age Parameters—improves usability and organization, enhances clarity and supports more efficient data entry and review.
Retirement Plans – Prohibit Deductions & Billing for Specific Code Types: You can now indicate when a retirement plan prohibits certain contribution types—such as excluding ROTH components—and when employer match amounts should be calculated but not billed, using the new “Prohibit Billing” setting. These controls improve plan management and ensure compliance with plan-specific rules.
New Offer Type for Care Advocacy: A new Care Advocacy offer type is now available for use with Insurance Class = Other. This update introduces a dedicated form for Care Advocacy that supports dependencies, enabling more flexible and accurate benefit configurations. It expands coverage options and improves support for specialized insurance scenarios.
Unarchive Benefit Web Enrollments: This update allows archived benefit web enrollment records to be restored. When a record is unarchived, it will replace any currently active record, ensuring that only one version remains in use. This feature improves flexibility in managing enrollment data while maintaining system integrity.

Expanded Benefit Enrollment Plan Details: The API now allows access to additional fields within Benefit Enrollment Plan Details, including dependencies, decision support mappings and underwriting questions. This enhancement improves integration flexibility and enables more comprehensive automation and data exchange for benefit enrollment workflows.
Retrieve Employee’s Manager and PTO Approver: This enhancement allows access to supervisory relationships for employees, including their designated Manager and PTO Approver. It supports improved automation and integration for workflows involving approvals, scheduling, and reporting.

Interview Scheduling: Enable hiring teams to coordinate interviews with candidates and interviewers without switching between tools. By centralizing scheduling within Applicant Tracking, the process becomes faster and more efficient—reducing friction and helping teams stay focused on finding the right talent.

Benefit Plan Manager – Supplemental Tab in Benefit Summary: This new tab enables users to select, reject or drop Supplemental plans, as well as adjust enrollment counts and employer contribution amounts. The enhancement provides greater flexibility and control over supplemental benefit offerings directly within Benefit Plan Manager.
Default Department Manager on Case Type Assignments: Users can now assign cases directly to the relevant Department Manager by default, streamlining case routing and improving accountability. It also provides a fallback option to ensure coverage when the primary assignee is unavailable.

Position Code Enhancement – OBBBA Tipped Employee TTO Code: This update introduces a field in the Position record for identifying qualified tipped positions under the OBBBA federal income tax deduction. W-2 Support for Railroad Employees: When generating W-2s for RRTA-covered employees, Box 14 now automatically populates with the required fields to report RRTA Compensation, Tier I & II Tax, and Medicare Tax. This update ensures accurate reporting and compliance with railroad-specific tax regulations.

October Focus: Operational Efficiency
Early Closure of Timesheets & Pay Period: To accommodate holiday schedules and other exceptions, managers can choose to close timesheets and sync hours before the official end of a pay period. This includes the ability to estimate and manually enter hours on employee timesheets prior to closure, ensuring payroll can be processed on time without delays.
Sync Pay Rates for Job Costing: Sync position pay rates directly from PrismHR to Workforce Management for faster setup of job pay rates and job cost reporting. Choose your preferred configuration—whether importing rates from PrismHR, assigning them in Workforce Management, or excluding them altogether—for greater flexibility and efficiency.
Map Custom Fields from PrismHR: Enable mapping of User Defined custom fields from PrismHR to Workforce Management Custom Fields. Add a custom value to PrismHR, then sync to a Workforce Management Custom Field to be used as an attribute or filter for creating Groups, Schedules or other Workforce Management tasks.
